In connection with your application sent via the contact form on the digital-office.pl website, we process the following personal data:

Providing data is voluntary, but necessary to respond to your inquiry.

III. How long do we store your data?

Your personal data will be stored for the period necessary to handle your inquiry and for the time required by law, but no longer than 3 years from the date of the last contact, for the purpose of potential assertion or defense of claims. After this period, the data will be permanently deleted.

IV. To whom do we transfer your data?

Your personal data may only be transferred to entities that process it on our behalf based on a data processing agreement (Art. 28 GDPR). These are: - Hosting and server infrastructure provider — for data storage (PocketBase server) - Telegram messenger — for instant notification of the application (data is sent as a message to the account administrator; Telegram Inc. operates according to its own privacy policy available at telegram.org) Your data is not sold or shared with third parties for marketing purposes. Your data is not transferred to third countries outside the European Economic Area, except for the Telegram infrastructure, whose servers may be located outside the EEA — in such a case, the transfer takes place based on standard contractual clauses approved by the European Commission.

V. Analytics — Umami

On the digital-office.pl website, we use the Umami analytical tool in the self-hosted version (hosted on our own server). Umami collects only anonymous statistical data regarding website use (e.g., number of visits, device type, visitor's country). Umami does not use cookies and does not process personal data — the collected data is fully anonymous and does not allow for the identification of a specific user. For this reason, using Umami does not require user consent.

VI. Cookies

The digital-office.pl website does not use cookies for tracking users or marketing purposes. The only technical mechanisms for storing data in the browser is localStorage used to remember the interface language chosen by the user (PL / EN / UK). This does not constitute personal data within the meaning of the GDPR.

VII. Your rights

According to the GDPR, you have the following rights:

  • Right of access (Art. 15 GDPR): you have the right to obtain information whether and what data of yours we process
  • Right to rectification (Art. 16 GDPR): you have the right to request the correction of incorrect data
  • Right to erasure (Art. 17 GDPR): you have the right to request the deletion of data ("right to be forgotten")
  • Right to restriction of processing (Art. 18 GDPR): you have the right to request the restriction of your data processing
  • Right to data portability (Art. 20 GDPR): you have the right to receive your data in a structured format
  • Right to object (Art. 21 GDPR): you have the right to object to data processing based on a legitimate interest

VIII. Data security

We use appropriate technical and organizational measures to protect your personal data against unauthorized access, disclosure, alteration, or destruction. Only authorized persons, bound by confidentiality, have access to the data.

IX. Changes to the Privacy Policy

We reserve the right to make changes to this Privacy Policy. We will inform you about any significant changes by updating the date in the header of the document. We recommend regularly reviewing the content of the Policy.
